Important Information

Important Dates and Times:

  1. Daily hours for the exhibition: 
    • 8 – 9 Sept: 9:00 AM to 3:00 PM (KFUPM Only)
    • 10 Sept: 9:00 AM - 6: 00 PM (Public)
  2. Last day for registration: Aug 14th, 2025 at 11:59 PM
  3. Participation fee payment deadline: Aug 31th, 2025 at 11:59 PM
  4. Withdrawal deadline without penalty: Aug 24th, 2025 at 11:59 PM
  5. Booth installations: starts on Sept 3rd, 2025 at 9:00 AM, and the venue will be open for installation 24/7 until Sept 6th, 2025 at 4:00 PM.
  6. Badges and parking tags pick up: Sept 7th, 2025, from 9:00 AM to 3:00 PM at the venue (Exhibition Center: Building 54).

Booth Guidelines:

Sponsors & Premium Exhibitors:

  1. Contracting the event Organizing Partner, WD, for your booth is recommended.
  2. If you choose to contract another vendor, please comply with the following:
    • design and install your booth according to the exact dimensions of the chosen category, see “Participation Category”.
    • Comply with the dates and times mentioned above.
    • Booth must not exceed 3m height.
    • Bring any necessary electrical wires, extensions or heavy materials you may need.
  3. Booth locations for participating entities are determined by the organizing committee and will be announced before the event.

Standard Exhibitors:

  1. The booth will be provided by KFUPM with the Exhibitor’s logo only (Plain - without branding), see a sample here.
  2. You are encouraged to design and install booth branding, please follow the exact dimensions as provided on the participation manual.
  3. Booth locations for participating entities are determined by the organizing committee and will be announced before the event.

Booth Representatives:

  1. Booth representatives MUST comply with the following at all times:
    • display badges at the venue.
    • display parking tags on the vehicle.
    • be present at the booth until 6:00 PM of the last day.
  2. Dress Code:
    • Men: Traditional Saudi attire or business casual attire.
    • Women: Abaya with Hijab (hair covering).
  3. Basic hospitality such as coffee, dates and chocolate are welcomed.
